Privacy Notice for International Patients
Information on the processing of personal data under the Turkish Personal Data Protection Law No. 6698 (“KVKK”)

2. Why we provide this notice
Before you send us any personal or medical information, Turkish law requires us to explain what data we process, why, on which legal basis, to whom it may be transferred, and which rights you have. Please read this notice before sharing any documents.
3. Data we process
- Identity and contact data: name, date of birth, passport/ID details where required by law, phone, e-mail, country of residence.
- Health data: medical history, reports, imaging, laboratory results, medications, allergies, examination and treatment records.
- Travel and stay data: travel dates, accommodation information relevant to your care.
- Financial data: estimate, invoicing and payment records.
4. Purposes and legal bases
- Preliminary medical review and planning of your care — protection of public health, medical diagnosis and treatment services performed by persons under an obligation of confidentiality (KVKK Art. 6), and where required, your explicit consent.
- Provision of examination and treatment, record-keeping — performance of legal obligations under Turkish health legislation.
- Communication about appointments, estimates and follow-up — establishment and performance of the service relationship (KVKK Art. 5).
- Responding to complaints and legal claims; fulfilment of obligations towards public authorities.
5. Transfers
Your data may be shared, only to the extent necessary, with: public institutions where required by law; a contracted, licensed hospital or laboratory involved in your care; and financial/accounting service providers for invoicing.
International transfers: patient records are stored on systems located in Türkiye. Where communication with you while you are abroad involves a transfer of personal data, it is carried out under Article 9 of the KVKK — where necessary, on the basis of your explicit consent.
6. Retention
Medical records are retained for the periods required by Turkish health legislation; other records are retained for the periods required by the applicable legislation and then destroyed in accordance with our retention and destruction policy.
7. Your rights (KVKK Article 11)
You have the right to: learn whether your data is processed; request information; learn the purpose and whether data is used accordingly; know the third parties to whom data is transferred; request correction of incomplete or inaccurate data; request deletion or destruction where the legal conditions are met; request notification of these actions to recipients; object to results of automated processing; and claim compensation for damage caused by unlawful processing.
To exercise these rights, apply in writing to our address above or by e-mail to bilgi@hakanyaz.com with proof of identity. Applications are answered within thirty (30) days at the latest. If your application is refused or you are dissatisfied with the answer, you may lodge a complaint with the Turkish Personal Data Protection Board (KVKK Kurulu).
8. How to share medical documents safely
Please use our secure upload form rather than ordinary e-mail or messaging apps. Do not send more information than requested.
